1. Terms of Service: Paid Calls for Entry

Our Role

Our platform provides tools and services to host and manage Calls for Entry ("Calls") on behalf of organizations ("Organizations"). Through this feature, we facilitate the submission process for artists ("Applicants") and process application fees. However, we do not act as the owner, sponsor, or organizer of any Call hosted on our platform. Instead, our role is limited to providing the infrastructure for Organizations to manage their Calls and for Applicants to submit their entries.

Relationship with Organizations

  • Hosting and Payment Processing: We host Calls for Entry and process application fees on behalf of the Organization. Payment processing is facilitated through Stripe, our third-party payment processor, which applies a processing fee (2.9% + $0.30 per transaction, with an additional 1.5% for international transactions). We deduct this processing fee and our service fee ($4 per application, and 10% of any additional-piece fees) from the total application fee before remitting the balance to the Organization.

  • Limited Responsibility: The Organization is solely responsible for the content, administration, and outcomes of their Calls, including the selection process, refunds, and compliance with applicable laws, including tax obligations.

  • Tax Liability: All tax liabilities, including but not limited to sales tax or income tax, arising from the application fees are the responsibility of the Organization.

Relationship with Applicants

  • Payment Facilitation: We process application fees paid by Applicants on behalf of the Organization. These fees are passed to the Organization after deducting the payment processing and service fees.

  • Limited Responsibility: We are not responsible for the content of the Calls, the selection of Applicants, or any disputes arising between the Organization and Applicants.

  • Refunds: All refund requests must be directed to the Organization hosting the Call. We will process refunds only if the Organization approves and requests the refund through our platform.

By using our platform, Organizations and Applicants acknowledge and agree to these terms.


2. Refund Policy FAQ

Q: Can I get a refund for an application fee I paid? Refunds for application fees are handled exclusively by the Organization hosting the Call. If you would like to request a refund, please follow these steps:

  1. Contact the main contact person listed in the Call details. This information is typically provided in the Call description or confirmation email.

  2. Clearly explain your request and provide any supporting documentation, such as your payment confirmation.

  3. If the Organization approves your refund, they will notify us, and we will process the refund to your original payment method.

Q: Does the platform process refunds directly for Applicants? No, we only process refunds approved and requested by the Organization. If you have concerns about a refund, you must resolve them directly with the Organization.

Q: How long does it take to receive a refund? Once the Organization approves your refund and requests it through our platform, we will process the refund within 5-10 business days. However, the exact timing may depend on your payment provider.


3. Fee Breakdown and Payout Policy

Application Fee Structure

  • Credit Card Processing Fee: Payment processing is handled by Stripe, which charges 2.9% + $0.30 per successful card transaction. For international transactions, an additional 1.5% fee applies. This fee is calculated on the total application fee.

  • Platform Fee: Our fee is $4 per artist/application, and 10% of any additional-piece fees remitted. This is deducted from the application fee alongside the credit card processing fee.

Example Fee Calculation

For a $20 application fee:

  • Application fee: $20.00

  • Stripe processing fee (2.9% + $0.30): $0.88

  • Platform fee: $4.00

  • Total paid to the Organization: $15.12

Application with Additional Pieces (for a $50 application fee with three additional pieces at $15 each):

  • Total application fee: $95.00

  • Stripe processing fee (2.9% + $0.30): $3.06

  • Platform fee: $8.50 ($4.00 base + $4.50 additional-piece fees)

  • Total paid to the Organization: $83.44

International Transaction (for a $30 application fee with two additional pieces at $10 each, international):

  • Total application fee: $50.00

  • Stripe processing fee (2.9% + $0.30 + 1.5%): $2.50

  • Platform fee: $6.00 ($4.00 base + $2.00 additional-piece fees)

  • Total paid to the Organization: $41.50

Special Pricing

For calls offering discounts or promotional pricing, fees are calculated on the final amount paid by the applicant. Contact our support team for questions on any complex pricing scenarios.

There is no platform fee for applications that are 100% discounted.

Income Reports and Payouts

Organizations can access detailed Income Reports through their account dashboard. These reports include:

  • Total application fees collected

  • Credit card processing fees

  • Platform fees

  • Net payout amount

Payout Schedule

  • Call Payouts: Organizations are paid out 30 days after the submission deadline of the call. Payments are issued via direct deposit or check.

  • Income Reports: A detailed Income Report for the call can be found on the main call page within your account.

  • Account Management: Organizations must ensure their payment and billing details are up-to-date to avoid delays in payouts.

By using our platform, Organizations agree to these terms and acknowledge their responsibilities for managing their Calls, handling refund requests, and complying with applicable tax obligations.
