Once you have received submissions to your Call for Entry, the next step is managing the submissions and filtering down to the finalist(s). This section focuses on the Jury Room for the call organization and external jurors.

You may invite as many External Jurors as desired. They DO NOT need an Artwork Archive account to access the jurying process.
Initial Screening of Submissions for Organizations:
Before involving jurors, the Call Admin/Organization account can choose to screen submissions to ensure they meet basic requirements. This is done by adjusting the Status of the submission.
Adjusting an Applicants Status:
Only the Call Admin account can see or change an applicant's Status. The status may be adjusted within the Individual Artists Submission Admin page.
To navigate to the Individual Artists Submission Admin page:
Navigate to Call Admin > Submissions > View
From the drop-down menu you can select any of the following status to a submission: To Review, Declined, Maybe, and Accepted.
Note:
Submissions can be filtered by status from the main Artist Submission page in the Call Admin account
Did You Know?
To hide submissions that don't meet your requirements, set their status as Declined. This will hide the submission from the Jury Room for jurors, and will only be visible to the Call Admin.
How to Invite External Jurors:
You can invite jurors to the Jury Room directly from the Call for Entry Admin page for the specific call. Any invited external jurors will be listed with their name and email within the External Juror field of the Call for Entry Admin page.
Click Add Juror to invite external jurors.
A new window will appear.
3. Enter the juror's name and email address.
4. Click the blue Invite Juror button to confirm.
Juror Access:
Once invited, the juror will receive an email. The email contains a unique login link to the Jury Room. This link only grants access to the specific Call for Entry they have been assigned to.
Reviewing & Rating Submissions for All Jurors:
The Jury Room has a built-in star rating system and remote scoring capabilities for consistent evaluation. The Call Admin account oversees and manages the Jury Room.
Star Rating System:
Each submission receives two types of ratings:
Individual Artwork Rating: 1-5 stars for each Piece.
Individual Artwork Ratings are only accessible in the submission detail view.
Your Rating: 1-5 stars for the entire application (including additional files, i.e. artist statement, CV, proposal, etc.)
From the Jury Room you are able to allocate or change Your Rating from 1-5 stars. This can also be adjusted within the submission detail view.
Juror Notes:
In addition to the star rating system, Notes can be added by jurors within each submission. Notes can be made on the overall submission as well as on individual artworks.
Did you know?
When multiple jurors are involved, notes always remain private to each individual external juror.
The Call Admin account has access to view all ratings and notes added to submissions by all jurors.
The Jury Room:
The Jury Room displays a list of Artists Submissions to the call. Each submission can be viewed in further detail to view all artworks and any supporting material. In addition, each individual artwork submitted can also be viewed in further detail.

Jury Room: Click this title to return to the main Jury Room with a list of all artists submissions.
View Submissions Page and Rules: This link will open a new window of the public Call for Entry page, detailing the opportunity, guideline, and requirements. This is for the juror to reference when reviewing artist submissions.
Call Admin: Click here to navigate back to the main Call Admin page (Call Admin Account only).
Your Rating: This is your over-all star rating for this artist's entire application.
View: Click View to see the entire application of an individual submission.

Ratings and notes entered by all jurors can be viewed there, along with the submission status. Here, you will also see the total average rating for this submission.
Artist [Name]: The applicant's name is listed here.
Back to Jury Room: Click this title to return to the main Jury Room with a list of all Artists Submissions.
Artwork thumbnails: Here you can click on the image to view it larger, make notes, and star-rate a specific image within Jury Room of Individual Artwork. You can also select or edit your star rating from below the thumbnail without viewing the larger image.
Answers: If questions are required in the submission, the question and answers will be included here.
Additional Files: If additional files are required, they will be visible here.
Each additional file includes a thumbnail image of the document and a drop-down menu to View, Download, or Copy URL.
Your Rating: Here you can select your overall rating for the submission. This rating considers all the supporting documents of the submission.
Your Notes: Notes made by any juror are visible here to the Call Admin account. The Call Admin can also make notes here.
Add Note: To add a note, type in the text field box and click Add Note.
You may add as many notes as needed.
Your notes may be edited by clicking on the pencil icon in the bottom-right corner of the note.
