Getting Started with Runs/Reproductions

Track and archive your reproduction items with this straightforward guide to managing your Runs/Reproduction in Artwork Archive.

A Reproduction in Artwork Archive is considered a copy or facsimile of the original work, usually created using photomechanical means.

Examples of reproductions: giclee prints, posters, print as a service item such as pillows & garments, cards, etc.

Note:

  • This feature is only available for Artist and Organization versions.

  • Reproductions do not count against your total Piece count. However, Reproductions have limitations—you can not include them in Reports, Certificates of Authenticity, or build Location and Exhibition history.

You can create a Run/Reproduction set by either using the Runs/Reproductions tab in the left-side menu or from within an individual Piece record.


Creating a Run/Reproduction from Runs/Reproductions

  1. Click on Artwork in the left-side menu

  2. Select Runs/Reproductions underneath.

  3. Under Runs and Reproductions, select + New Run.

  4. Select the Piece for which you'd like to create a run by typing its name in the search bar in the Pick Your Piece box.

  5. Fill in the Run info and click on the blue Create Run button.


Creating a Run/Reproduction from a Piece record

  1. Click on Artwork in the left-side menu.

  2. Select Pieces.

  3. Click on the Piece for which you are wanting to create a Run/Reproduction.

  4. Click New Run in blue next to Runs/Reproductions in the right-hand column.

  5. Fill in the information and click Create Run.


How to edit the dimensions of a Run/Reproduction

  1. Click on Artwork in the left-side menu > click Runs/Reproductions underneath

  2. Choose the run for which you'd like to add the size

  3. Click Edit above the image

  4. Edit the height, width, and/or depth under Size and Framing

  5. Click Update Run


How to add works to a Run/Reproduction

  1. Click on Artwork in the left-side menu > click on Runs/Reproductions underneath

  2. Select the Run to which you want to add prints

  3. Then click on Add Works in the top menu

  4. A box will appear where you can type in the number of prints you want to add.

  5. Hit the blue Add button.


How to add Reproductions to a Location

  1. Click on Artwork in the left-side menu > click on Runs/Reproductions underneath

  2. Select the Run to which you want to assign a Location

  3. Check the boxes of the individual prints that you want to assign to a specific location

  4. Click the blue Assign to Location button

  5. Choose a Location from the drop-down menu and click the blue Assign button

    • Or, click on Artwork in the left-side menu, and select the Piece for which the Run was created. Scroll down to Runs/Reproductions in the right-hand column.


How to assign Reproductions to an Exhibition

Not only does tracking a reproduction’s exhibition and award history add to its value and build its provenance, but you need to stay on top of what is submitted and accepted, so you can stay professional and never double book or double sell the same print again.

Plus, for each show or exhibition, you can track important location information, submission deadlines, notification dates, showtimes, delivery and pick updates—and receive email reminders about these deadlines!

  1. Click on Artwork in the left-side menu > click on Runs/Reproductions underneath

  2. Select the Run for which you want to assign to an Exhibition

  3. Check the boxes of the individual prints that you want to assign to a specific Exhibition next to the Run/Reproduction item numbers

  4. A box will appear at the bottom of the screen where you will be able to assign to an Exhibition record or a Location record

  5. Click the blue Assign to Exhibition button

  6. Then select an Exhibition from the drop-down menu and click the blue Assign button


Adding proofs to Reproductions

  1. Select the Run for which you want to add a proof

  2. Click on Add Works in the top menu

  3. A box will appear where you can type in the number of proofs you want to add. Click on the box "New works are proofs" next to the number field, and hit the blue Add button.

Viewing and editing your proofs

  1. View all of your proofs for that Run by clicking the Proofs button next to the Run image

  2. You can edit individual Proofs by clicking on the pencil icon to the right

  3. There, you will be able to change the inventory number, price, and wholesale price, and add any notes pertaining to the Proof

  4. Click the blue Save button when finished

Add an image to your proof

  1. To add an image for the Proof, click on Details in blue to the right of the Proof

  2. Select the Choose a File button to upload an image

How to delete a proof

  1. To delete a Proof, click on the trash can icon to the right side of the Proof

Register a sale of a proof

  1. To register a sale of your Proof

  2. Click on Register a Sale in blue

  3. Enter in the sale details and click Save

    • If you are donating a Proof, record it by clicking on Donate in blue to the right of the Proof


Deleting a Run/Reproduction

Delete a singular print from a Run/Reproduction set

  1. Click on Artwork in the left-side menu

  2. Click on Runs/Reproductions underneath

  3. Select the Run for which you want to delete a print

  4. Click on the blue trashcan icon next to the right of the print you want to delete

Important Note:

Deleting a print listed within a Run/Reproduction and/or a Run/Reproduction set is a permanent action and cannot be undone.

Delete a full Run/Reproduction set

  1. Click on Artwork in the left-side menu

  2. Click on Runs/Reproductions underneath

  3. Select the Run for which you want to delete the entire set

  4. Scroll down to below the Run Info, then select Delete this Run in blue

Important Note:

Deleting a print listed within a Run/Reproduction and/or a Run/Reproduction set is a permanent action and cannot be undone.
