Coordinating with clients or collaborators online can be challenging. That's where Private Rooms come in. It is a feature designed to help you easily prepare and share online viewing rooms exclusively with your chosen audience.
Whether you're an artist looking to showcase your latest works to potential buyers, a collector wanting to share your curated collection with appraisers, or an organization needing to present a selection of artworks to clients or partners, Private Rooms simplify the process. There is no limit to the number of Private Rooms that can be created when subscribed to one of the plans below.
Private Rooms are a premium feature available on the following plans:
Professional & Master Artist accounts
Plus & Premier Collector accounts
All Organization plans
Creating a Private Room
Go to Private Rooms under the Artwork menu on the left-hand side.
Click New to create a new Private Room.
Enter a title under Name and provide details about the artworks in the Description field.
Choose any additional details you'd like to share, such as price or status.
To make your Private Room shareable, select Published in the settings.
(Optional) Add a passphrase under Privacy Settings to protect your room.
Select the artworks you want to include:
Filter by Collections, medium, status, tags, and more.
Click the desired works and then click Add to include them.
Once all selected works are in the Selected Pieces column, click Save Room.
Sharing a Private Room
Navigate to the main Private Rooms page.
Locate the room you'd like to share.
Choose one of the following sharing options:
Copy the URL to share outside of Artwork Archive, such as in an email.
Click Share to send directly from your Artwork Archive account
When a Private Room is 'Published', it is shareable but still private and not available to anyone without the URL.
When a room is 'Unpublished', the URL cannot be copied, pasted, or shared until it is marked as 'Published'.

Auto-Log Private Room Sharing in Contact Records
When you share a Private Room directly with an Artwork Archive Contact, the sharing record is automatically stored in that Contact's history. This feature helps you keep track of interactions, easily reference shared Private Rooms, and maintain organized records for follow-ups.
To use this feature, simply share the Private Room with your Contacts using the share dialog box within Artwork Archive.
