How to add, manage, and track publication history for your artworks.

There are two ways to add publications to your records in Artwork Archive: through the Publications feature under Reports/Docs or directly on the individual piece's page. No matter where you add the records, they will populate on the Publications page. Both methods allow you to easily document and track publication history.

Key Differences Between the Two Methods

  • Publications Feature: Best for managing multiple works at once, especially if they are part of the same publication. Changes made here are reflected across all associated works.

  • Individual Work's Page: Best for single entries where you only need to link a single artwork to a publication.


Adding Publications via the Publications Feature

The Publications feature is located on the left-hand menu under Reports/Docs. This is the central spot where you can manage all your publication records in one place. It’s ideal if you have a publication that includes multiple works, as it allows you to update all relevant records simultaneously.

Create a New Publication Record

  1. Click +New Publication to create a new record.

  2. Enter the publication details (e.g., author, title, publication date) and use the piece picker to associate one or more works with the publication. You can even upload documents (up to 30MB) related to the publication, such as PDFs or images.

Note: You can include an artwork's Publication History in various Artwork Archive reports, like Portfolio Pages, after adding it to the artwork record.

Viewing, Editing & Deleting Publication Records

Your publication records will appear on the main Publications page. If a publication is linked to multiple works, the system will display up to 5 images with an indication of how many additional pieces are associated.

  • Editing: You can update an existing publication by adding or removing associated works. Any changes you make will automatically reflect on the individual work pages.

  • Deleting: Deleting a publication will only remove the publication record itself. Your artwork records will remain intact, and the individual pieces will still exist in your account without the publication association.

  • Viewing Documents: To view the uploaded documents associated with a publication record, click Document on the right side of the record.

  • Sorting and Filtering: You can sort publication records by Name and Date to quickly find specific entries. Additionally, you can filter your publications by Publication Type and Date to narrow down the list based on your specific criteria.


Adding Publications via the Individual Piece Record

If you want to enter a publication record for a single piece, you can do so directly on that piece's page.

  1. Click into the individual piece’s record and scroll to the Publications section on the right-hand side.

  2. Click New Publication Record and enter the details specific to that artwork.

    1. Artwork Archive automatically formats the citation according to Chicago Manual of Style standards.

    2. Publications added to an individual piece's page will appear in chronological order by date.

    3. Publications added through the individual piece's page will also appear in the main Publications list when viewed from the menu bar, ensuring all your records are consolidated in one place.
