A Consignment Report gives you and your gallery one clear record of which artwork is on consignment, at what price, and on what terms. You build it straight from a Location record, so the Pieces already assigned there are ready to go, and you can add formatted notes and links for everything the Piece list does not cover.
Create a Consignment Report from a Location
Navigate to Locations in your left-side menu
Select the Location for the gallery or venue that is receiving your artwork
Select New Report > Consignment Report
Under Report Options, add a Consignment ID if you use one, such as an agreement or invoice number. Add any Notes you want on the report, such as your consignment terms.
Under Report Design, choose your size display, page size, profile image or logo, Report header image, font, and the footer information to include
Under Piece Options, choose the details to show for each Piece, such as Price, Consignment Dates, Wholesale Price, or Piece Description
Under Piece Sort Options, choose an order from the Select Piece Order drop-down
Check the box next to each Piece you want to include, or select Select All. Check Not For Sale next to any Piece that should show "Price: Not For Sale" instead of its price
Select the blue Generate Report button. You are redirected to your Reports page
Select the blue title of your new Consignment Report to view, download, copy the URL, share, or rename it
Note:
Only Pieces currently assigned to this Location appear in the Piece list. Assign your Pieces to the Location first, then generate your Consignment Report.
Did you know?
When you share a Report with a Contact record, it appears on your Reports page and the interaction is saved in that Contact's history, so you always know what was sent and when.
Format Your Consignment Notes with the Rich Text Editor
The Notes field has a rich text editor, so your terms read like a polished document instead of a block of text. Use the toolbar to add bold, italics, strikethrough, headings, quotes, bulleted and numbered lists, indents, and hyperlinks.
Ways to Use Your Consignment Notes
Notes is the place for anything the Piece list does not cover, for example:
The commission split and when payment is due after a sale
The consignment period and when unsold work comes back to you
Pricing guidance, such as whether the gallery can offer a discount
Care, handling, and installation instructions
Who covers insurance and shipping
Links to your signed agreement, an installation guide, or shipment tracking
Add a Hyperlink to Your Consignment Notes
Type the text you want to link
Highlight that text
Select the link icon in the toolbar
Paste the full URL and apply the link
Note:
Your link needs the full URL, starting with https://. Without it, the link will not work for whoever opens your report. Copy the address straight from your browser's address bar.
Did you know?
The same rich text editor is in the Notes field of Inventory Reports, the COA Text field of Certificates of Authenticity, and the Notes on your Invoices.
Edit Your Consignment Report
To change your Notes, Consignment ID, design options, or which Pieces are included, select the blue pencil icon next to the report on your Reports page, make your changes, and select Generate Report.
Details like a Piece's price, dimensions, or consignment dates come from your records. Update the Piece record or the Location record first, then regenerate the report with the pencil icon to pull in the new information.
Did you know?
You can change the order of the Pieces in your Consignment Report when creating or editing it. Just choose your preferred order from the Select Piece Order drop-down.
Add a Cover Page to Your Consignment Report
On Artist accounts, you can open your Consignment Report with a Cover Page built from your profile image, bio, and social media links. In the Report Design section, check Include Cover Page with profile image, bio, and social media links.
Example Consignment Report
Your finished Consignment Sheet lists who the artwork is going to and from, the date, your Notes, each Piece with the details you chose, and lines for Date, Received By, and Signature.
