How to Add a Cover Page to Your Reports in Artwork Archive

Instantly make your Inventory Reports, Tear Sheets, and Catalog Pages look gallery-ready by adding a Cover Page with your photo, bio, and social media links. No design experience needed.

A Cover Page is a personalized first page that gets added to the front of your report before your artwork content begins. When someone opens your report, the Cover Page is the very first thing they see — it's your introduction.

Artwork Archive automatically builds your Cover Page using information already saved in your account profile, including your: Profile image, Artist Biography, and Social media links

You don't have to design anything or learn how to use design software. Artwork Archive puts it all together for you!

Step 1: Make Sure Your Profile Is Filled Out First

Your Cover Page pulls its content directly from My Profile > Profile Info and About. If your profile is empty or missing information, your Cover Page will be blank in those areas. Taking a few minutes to fill out your profile before creating your report will make all the difference.

Here's what to add:

  • Profile image — a clear photo of you, your studio, or your artwork (up to 30MB; JPG or PNG work best)

  • Bio — about you and your artistic practice

  • Social media links — your Instagram handle, website URL, Facebook page, or any other links you'd like to include

Add a Profile Image

  1. Navigate to My Profile in your left-hand menu > Profile Info

  2. Upload your profile image by selecting the gray "Choose File" button for the Profile Image section

  3. Click the blue Save button

Add Social Media Links

  1. Navigate to My Profile in your left-hand menu > Profile Info

  2. If you have a main external website, you can include the full website URL in the Profile Info contact section

  3. Scroll down to the Social Media section and add any links you'd like to appear on your Cover Page

    • These links will also appear on your Public Profile if you have made your profile public.

  4. Click the blue Save button

Add your Artist Biography

  1. Navigate to My Profile in your left-hand menu > About

  2. Scroll down to the full Biography section where you can use our rich text editor to format your Artist Bio and even include hyperlinks!

  3. Click the blue Save button

Tip:

Not sure what to write for your bio? Even two or three sentences about your medium, style, or inspiration is a great start. You can always come back and update it later.


Step 2: Create Your Report and Include Your Cover Page

Once your profile is ready, adding a Cover Page to your report is just one checkbox. Here's how to do it from start to finish:

  1. Navigate to Reports/Docs in your left-side menu

    • You can also start from the Artwork > Pieces page by clicking the blue New Report button at the top

  2. Click the blue New Report button

  3. Select your report type: choose Inventory Report, Tear Sheet, or Catalog Page (Cover Pages are only available on these three report types.)

  4. Scroll down to the Report Design section > check the box that reads: "Include Cover Page with profile image, bio, and social media links"

  5. Select your preferred display and data settings. Select the Pieces you want to include in the report.

    • Use the filter bar in the Piece selection section to narrow down your artwork list if needed

  6. Click the blue Generate Report button on the bottom right

That's it! Your report will process and be stored/accessible on your Reports page. When you view the report, it will open with your Cover Page as the first page, followed by all of your artwork content.

Don't see the Cover Page checkbox?

Double-check that you've selected one of the three supported report types:

The checkbox will not appear for other report types.


Step 3: Preview Your Report Before You Share It

Before sending your report to a gallery, collector, or anyone else, take a moment to preview it and make sure everything looks the way you want.

  1. After your report generates, find it listed on the Reports/Docs page

  2. Click the blue title of your report to open a preview

  3. Check that your Cover Page shows your photo, bio, and social links correctly

  4. If anything looks off (e.g., if your photo is missing or your bio is blank), go back to My Profile, make your updates, and then regenerate the report by clicking the blue pencil icon beside the report to regenerate

Did you know?

When you edit a report in your Reports page (by clicking the blue pencil icon to the right of the report), all the same settings and Pieces selected initially will appear as they were selected when you first created the report.


✅ How to Share Your Report

Once you're happy with how your report looks, Artwork Archive makes it easy to share to your Contacts and automatically tracks the sharing history within the Contact records.

  1. Click the blue title of your report on the Reports/Docs page

  2. You'll see options to:

    • Download the report as a PDF to your computer/device

    • Copy the URL to paste into an email or message

    • Share directly with a Contact Record in your Artwork Archive account

Did you know?

When you share a report directly with a Contact Record in Artwork Archive, that sharing history is automatically saved in that Contact's history.

So if a gallery director asks "did you send me something?", you can look it up in seconds. No digging through your email inbox required!


Tips for a Professional-Looking Cover Page

  • Use a clear, well-lit photo. Blurry or dark images will show up that way on your Cover Page.

  • Add at least one social media or website link. This makes it easy for whoever receives the report to learn more about you and your work beyond the pages in front of them.

  • Regenerate if you update your profile. If you change your photo or bio after already creating a report, you'll need to regenerate the report for the updated information to appear. Simply click the blue pencil icon next to your report to edit and regenerate it.

Frequently Asked Questions

My Cover Page is showing up blank. What do I do?

This usually means your profile isn't filled out yet. Go to My Profile in the left-hand menu, add your photo, bio, and social links, save your changes, and then regenerate your report.

I don't see a checkbox for the Cover Page. Why not?

Cover Pages are only available on Inventory Reports, Tear Sheets, and Catalog Pages. If you're creating a different report type, the option won't appear.

Can I customize the layout or design of my Cover Page?

The Cover Page layout is set by Artwork Archive and uses your profile information automatically. To change what appears on it, update your profile image, bio, or social links in My Profile.

Will my Cover Page update automatically if I change my profile?

No, existing reports won't update on their own. If you make changes to your profile and want them reflected in a report, you'll need to regenerate that report. Click the blue pencil icon next to the report to edit and regenerate.

Can I add a Cover Page to a report I already created? Yes! Click the blue pencil icon next to your existing report, check the Cover Page box in the Report Design section, and click Generate Report again.
