Where can I find my Purchase Requests and Inquiries on Artwork Archive?

Got a message about your art? Here's how to find, view, and respond to purchase requests and inquiries in your Inbox.

When someone is interested in your artwork, they can send you a Purchase Request (to buy) or an Inquiry (to ask questions). Both appear in your Inbox.

Did you know?

These messages can come into your Inbox through your Public Profile, Private Rooms, and/or your Public Portfolio/Collection Embed.


Viewing Purchase Requests in your Inbox

There are two locations to view your Purchase Requests: through messages in your Inbox or through the Invoices tab.

Access via Inbox

Navigate to your Inbox in your left-side menu or under your account profile photo on the top right of your screen.

Access via Invoices

You can also find all of your past and present Purchase Requests by going to Invoices > Purchase Requests.


Creating an Invoice from a Purchase Request

Review Purchase Request and Create Invoice

  1. Click on the message from the interested buyer by clicking the blue text.

  2. Here, you can see the details of the artwork that they are interested in purchasing, along with a message from them. You can either reply to their message or create an Invoice here (or both).

  3. Click Create Invoice.

    • You will be prompted to save that contact in the system or sync with an existing Contact record already in your account.

  4. Click Next to generate the Invoice.

Customize Your Invoice

  1. Once you've clicked Next, you can enter in the information for your Invoice such as dates, notes to the buyer, shipping costs, or edit the sale to add a discount.

  2. Click Save Invoice.

Send Your Invoice

  1. After you click Save Invoice you will see a new screen with the options to Edit, Preview, or Send your Invoice.

  2. (Optional) Enable PayPal Payment Buttons and/or Partial Payments. Note: You will need to first set up your account to allow for PayPal payments in your invoices.

Note:

PayPal processing is a premium feature and is not available at the Artist Apprentice or Collector Starter accounts. You can upgrade your account at any time by navigating to the Account tab in your left-side menu—or by clicking here.


Inquiries in your Inbox

In addition to Purchase Requests, you may also receive general Inquiries about your artwork through your Public Profile, Private Rooms, or Public Portfolio/Collection Embed. Unlike Purchase Requests, inquiries are questions or expressions of interest that don't necessarily request to purchase.

Any new messages will be indicated by a number badge (1) next to the Inbox tab and next to your profile icon.

Viewing your Inquiries in your Inbox

There are two ways to access your Inbox to view inquiries:

  1. Click on Inbox in your left-side menu or click on your profile icon in the upper right corner > Inbox

  2. Once in your Inbox, you'll see a list of all inbound messages. Each inquiry displays action buttons: View, Reply, Archive, Delete

Replying to Inquiries

  1. Click View on the inquiry you want to respond to

  2. Review the full inquiry details, including:

    • Sender's contact information

    • The artwork they're inquiring about (with image and details)

    • Their complete message

  3. Click the Reply button

  4. Choose how you'd like to send your response:

    • Gmail - Opens Gmail in your browser

    • Outlook - Opens Outlook

    • Yahoo - Opens Yahoo Mail

    • Copy Email Address - Copies the sender's email to your clipboard​

Note:

All inquiry responses are sent via external email—replies do not occur within your Artwork Archive account. This allows you to maintain your usual email workflow and keep all correspondence in your preferred email platform.

Alternative Response Options

Depending on the inquiry, you may also want to:

  • Share a Private Room with curated artwork selections

  • Send a Report with specific collection information

  • Generate an Invoice if the inquiry leads to a purchase discussion
