How to Assign a Piece to a Location

Keep track of where your artwork is and where it has been.

Assign a singe Piece record to a Location

  1. Navigate to Artwork > Pieces in the left-side menu

  2. Select the Piece you want to assign to a Location

  3. Then click on Assign to Location. You may also click on New Location Record in blue next to Location History. 

  4. Select a Location by choosing one of the following:

    • One of your existing Location records from the drop-down menu.

    • Click "Or create new location by name" in blue. Type the new Location's name in the box.

    • Click "Or create new location from a contact" in blue. Select an existing Contact record from the drop-down menu (Contact record must already be in your account).

  5. Be sure to select the checkbox that reads "Is this the current location for the piece?" if true. This will automatically update the Piece record's Location History and Current Location records.

  6. Select the Start and End Dates

  7. Click Save


Assign Pieces in Bulk from your Pieces Page Menu

You can assign pieces in bulk either from within a Location Record or on the main pieces page under Bulk Actions. Here's how to assign to location in bulk from the Pieces page:

  1. Navigate to Artwork > Pieces in the left-side menu

  2. From the top menu, select Bulk Actions > Assign to Location

  3. Select the existing Location record for which you want to assign your Pieces

  4. Select the Pieces you want to assign to the Location from the left-side column ("Pieces")

    • All Pieces shown in the right-side column ("Selected Pieces") will be included in this bulk Location assignment

    • You can select one Piece at a time or select multiple

  5. Select the blue Add # button on any selected Piece record to move the Piece to the right-side column ("Selected Pieces")

  6. Click the blue Assign button on the bottom right


Assign Pieces in Bulk from a Location Record

You can assign pieces in bulk either from within a Location Record or on the main pieces page under Bulk Actions.

  1. Navigate to Locations on the left-side menu

  2. Select the Location you want to assign Pieces to

  3. Select Manage Inventory > Add Inventory from the drop-down menu

  4. (Optional) Select the Start and/or End Dates for the date range when the Piece(s) will be physically at the Location

    • After the selected "End Date," the Piece(s) will be automatically recorded as being returned to your "inventory."

    • Check the "Current Location?" box to automatically record the Piece(s) selected as being located at the Location

  5. Select the Pieces you want to assign to the Location from the left-side column ("Pieces")

    • All Pieces shown in the right-side column ("Selected Pieces") will be included in this bulk Location assignment

    • You can select one Piece at a time or select multiple

  6. Select the blue Add # button on any selected Piece record to move the Piece to the right-side column ("Selected Pieces")

  7. Click the blue Assign button on the bottom right


Edit & Assign an End Date for a Piece at a Location

You must have a Piece assigned to the Location first to add an end date.

  1. Navigate to Artwork > Pieces in the left-side menu

  2. Select the Piece for which you want to edit the Location dates

  3. Locate the Location History section and click Edit next to the Location to which you want to assign or edit end date

  4. Select the date selection field under End and select the end date

    • If it is the current location of the Piece, check the "Is this the current location for the piece?" checkbox

  5. Click the blue Save button on the bottom right to save your changes

Did you know?

When the Piece is no longer at the Location, you can go back and the uncheck the Current Location? box. This will return the Piece to your Inventory.
