A Sales Record is where you record all information pertaining to a sale of an Artwork. You can include the Contact Record for the client who purchased the Piece, the Location it was purchased from, and other additional information important to your record keeping.
Note:
All sales record information is completely private. Any public Piece(s) marked as Sold will not show any buyer information or other Sale record information on your Public Profile or in any Private Rooms.
Registering a Sale from a Piece Record
Click Artwork on the left-side menu.
Select the Piece that you want to mark as Sold.
Click the gray $ Register Sale button under the title.
Entering the details for a Sale Record
Once you have selected $ Register Sale on a Piece record, you will then be taken to the Sale registration window for this singular Piece record.
Select an existing Contact or select to create a new Contact.
Note:
Creating a new Contact will in fact create a new Contact record in your account's database.
If the Contact that purchased the Piece already exists within your account, select the Contact from the Existing Contact drop-down menu. Otherwise, this would result in a duplicate Contact record.

You can select an existing Contact already in your account's database, or you can select to Create a new contact.

6. Fill in all pricing and sales details that are relevant for this individual Sales record.

The system will automatically calculate the sale revenue as you input the Price, Discount (optional), Commission (optional), and Tax (optional) fields.
7. If the Piece was sold from a Location, like a gallery for example, you can select the Sale Location affiliated with this Piece from the existing Locations drop-down menu or create a new Location.
Note:
Creating a new Location will in fact create a new Location record in your account's database.
8. Select the blue Save Sale button on the bottom right to save the Sale record.
9. You will then be taken to the completed Sale record page for that Piece.

As you add more Sales, you will begin to see your top performing Locations, Sold Work Value, and more in Insights.
Now, when you go to view the Piece record, the Sale registration info appears in the right-hand side of the Piece information details, available for quick access and reference.
Editing a Sale Record
You can always return to an existing registered Sale record for a Piece should you need to edit or update any details for that sale. Here's how:
Navigate to the Piece record you want to edit.
Locate the Sale Info section on the right-hand side.
Select Edit Sale.
Make any edits to the details within the Sale edit screen.
Be sure to click the blue Save Sale button on the bottom right to save all your changes.
