How to update the status of an Artwork

The status of an artwork changes frequently and you need to be able to keep track of it in order to stay organized. 

In Artwork Archive, you can mark a Piece as Available, Reserved, Donated, Sold, Not for Sale, Gifted, Work Destroyed, or Archived for quick reference, as well as filter by these statuses when searching for Pieces in your inventory.

How to update the status of Piece:

Click on Artwork in the left-hand menu, then click on the Artwork for which you would like to update the status. Under the image of the Artwork and it's details, look for the drop-down menu next to Status.

Click on the drop-down menu to select the status of the Piece. You can choose from the following statuses: In Progress, Available, Reserved, Gifted, Donated, Sold, Not for Sale, On Loan (for Artist & Collector accounts), Work Destroyed, Archived, Lost, Deaccessioned (for Organization accounts), or Returned to Owner (for Organization accounts).

NOTE: When you mark a Piece as Work Destroyed, Archived, Lost, Deaccessioned, Returned to Owner your work will still be in your inventory, but will appear under "Hidden." If you click the "Hidden" icon, you will see these works.

NOTE: When you mark the status of a Piece as Donated, Sold, or Gifted, you will be redirected to where you can add the details of the donation or sale.

Click the blue Save button when finished, and the Donation or Sale will be registered and listed in your Sales under Income in the left-hand menu.

To edit the status of an Artwork:

If the Artwork is marked as Available, Reserved, Not for Sale, Work Destroyed, or Archived, you can edit the status by selecting a new status from the drop-down menu.

NOTE: If the Piece has previously been marked as Donated, Sold, or Gifted, you edit the status by clicking on Income in the left-hand column and then Sales/Donation.

Find the Artwork you would like to edit, then click on Actions in blue to the far right of the Artwork. Select Delete to delete the Sale or Donation entry.

You will then be able to change the status of the Artwork by following the directions above.
