Marking Artworks as Donated or Gifted

Artwork status changes often, so tracking it is essential for staying organized.

In Artwork Archive, you can mark a Piece as Available, Reserved, Donated, Sold, Not for Sale, Gifted, Work Destroyed, Lost, On Loan, Deaccessioned or Archived for quick reference, as well as filter by these statuses when searching for Pieces in your inventory.


3 Ways to mark a Piece record as Donated:

Route A

  1. Click Artwork in the left-side menu.

  2. Click on the Piece you wish to donate

  3. Click the gray Donate button under the title. 

4. Enter the Donation Value of the Piece.

5. You can also include the Date, Location, and Client Info.

6. Then click Save. 

Route B

  1. Click Artwork in the left-side menu.

  2. Using the List View setting, select the More button to the right side of the piece you wish to donate.

  3. Select Donate from the drop-down menu.

  4. Enter the donation information.

  5. Then click Save. 

Route C

  1. Click Artwork in the left-side menu.

  2. Click on the Piece you wish to donate.

  3. Scroll down to the Status box.

  4. Select Donate from the drop-down menu.

  5. Enter the donation information.

  6. Then click Save. 


3 ways to mark a Piece record as a Gift:

Route A

  1. Click Artwork in the left-side menu.

  2. Click on the Piece you wish to donate.

  3. Then click the gray Gift button under the title.

4. Enter the Gift Value of the Piece.

5. You can also include the Date, Location, and Client Info.

6. Then click Save.

Route B

  1. Click Artwork in the left-side menu.

  2. Using the List View setting, select the More button to the right side of the piece you wish to donate.

  3. Select Gift from the drop-down menu.

  4. Enter the gift information.

  5. Then click Save.

Route C

  1. Click Artwork in the left-side menu.

  2. Click on the Piece you wish to donate.

  3. Scroll down to the Status box.

  4. Select Gift from the drop-down menu.

  5. Enter the gift information.

  6. Then click Save.
