How to Create Artist Profiles in Artwork Archive (for Collector and Organization Accounts)

Build Artist Profiles from your artist Contact records so visitors see each artist's bio, website, and social links on your Public Profile.

An Artist Profile gives visitors the story behind the artwork in your collection: who made it, where they're from, and where to learn more. In Artwork Archive, each Artist Profile is built from that artist's Contact record. You add the details once, and they appear wherever you share that artist's artwork.

Collector and Organization accounts can share Artist Profiles on the Artists page of a Public Profile and in Private Rooms. Organizations can also feature artists in public Exhibitions.

An artist's Contact record is connected to their artwork, so when you update the record, their Artist Profile updates everywhere it appears.

Where Artist Profiles Appear for Collector and Organization Accounts

  • Artists page on your Public Profile, where each artist's card shows one of their Pieces. Visitors click a card to open that artist's full Artist Profile:

The Artist Profile on your Public Profile is separate from any Public Profile the artist keeps on their own Artwork Archive account. You control what appears on yours, and the artist controls theirs.

Add Artists to Your Contacts in Artwork Archive

Every Artist Profile starts with a Contact record marked as an artist. There are two ways to create one.

Add an Artist While Adding New Artwork

  1. Start a new Piece Record from Artwork > Pieces in the left-side menu

  2. Under Artist(s), start typing in Select from existing artists and choose the artist. If they aren't in your Contacts yet, click Create a new artist and enter their First Name (required) and Last Name

Artist(s) section of the New Piece form with the Create a new artist fields for First Name and Last Name showing.
  3. Finish the rest of your Piece Record and save it. For help with each field, see A Guide to Filling Out a Piece Record (for Collection Management)

A new artist added this way is saved to your Contacts as an artist automatically.

Note:

Before you click Create a new artist, check Select from existing artists first. Creating an artist who is already in your Contacts makes a duplicate Contact record.

Add an Artist from Your Contacts Page

Use this when you want to set up an artist before you add their artwork.

  1. Click Contacts in the left-side menu

  2. Click New Contact

Contacts page with the New Contact button highlighted.
  3. Enter the artist's name in First Name or Company Name. This is the only required field

  4. Under Associations on the right, check Artist

New Contact form with the Artist checkbox selected under Associations.
  5. Add any other contact details you have now, or come back and edit the Contact record later

  6. Click Create Contact

For more on Contact records, see Getting started with Contacts.

Complete an Artist's Contact Record to Build Their Artist Profile

The more you fill in, the richer the Artist Profile. A full bio and dates give context for historical artists. For living artists, a website and social media links send visitors straight to them.

  1. Click Contacts in the left-side menu

  2. To see only your artists, click Relation and select Artist

Contacts page filtered by Relation to show only Contacts marked as Artist.
  3. Click Edit next to the artist's name

  4. Add the details you want visitors to see:

    • Contact Image: click Choose File to upload a headshot

    • Website

    • Bio

    • Social Media Links: Facebook, X, LinkedIn, Pinterest, Instagram, TikTok, and YouTube. Each must be a full URL, such as https://facebook.com/your-name

    • Birth Date, Nationality, and, for artists who have passed away, their death date, under Additional Information

  5. Click Update Contact

An artist's phone numbers, email, addresses, and Contact Notes are always private. They never appear on an Artist Profile.

For Organizations, an artist's Contact Image appears on their card on the Artists tab of any published Exhibition they're part of. Cards on your Public Profile's Artists page always show one of the artist's Pieces.

Let Artists Upload Their Own Artwork and Update Their Bios (Organization Accounts)

Note:

Artist submissions are available on Organization accounts only.

This section is a quick overview. For full step-by-step instructions, see Organizations: Allow Artists to Upload Works Directly to your Artwork Archive Account.

Preparing a group exhibition? Instead of collecting images and bios by email, give each artist a private, password-protected upload page. They add their own artwork and keep their bio current, and everything lands in your account.

When you turn on submissions for an artist, their Contact record shows an Upload URL and Upload Password under Allow Uploads for this Contact. Click Copy and send both to the artist.

Edit Contact page with Allow Piece Submissions checked under Enable Artist Submissions and a password entered in Submission Page Password.
Allow Uploads for this Contact section of an artist's Contact record showing submissions ON, the Upload URL and Upload Password, and the Copy button.

Artists without an Artwork Archive account add their Pieces directly on that page. Artists who already have an account can log in first, open the link, and click Upload Work Directly From Your Account to send Pieces from their own inventory, so they don't have to enter anything twice.

The upload page also has an Update Contact Information button. Artists can use it to add or change their Contact Image, Website, Bio, Social Media Links, Birth Date, and Nationality. When they click Save, the changes update their Contact record in your account.

Once an artist's information is in your account, you can keep editing their Contact record, such as adding a death date or updating their Associations. The artist isn't notified of your changes.
