How to Set Up and Customize Your Artwork Archive Public Profile

Set up, customize, and share your Artwork Archive Public Profile so collectors, curators, and buyers can find your artwork or collection online.

Your Artwork Archive Public Profile is a powerful tool for showcasing your work or collection to a global audience. This guide will walk you through the process of setting up, customizing, and sharing your Public Profile for maximum exposure.

Ways to Use Your Public Profile

Artwork Archive offers various ways to showcase your art or collection:

  1. Public Profile: Share your work or collection with everyone

  2. Password Protected Public Profile: Share with a select audience

  3. Embedding Your Public Profile: Integrate your Artwork Archive portfolio directly into your existing website

Alternatively, certain plans have access to Private Rooms, with which you can share specific pieces with a chosen network (available on Artist Professional & Master, Collector Plus & Premier, and all Organization accounts)

Privacy Note:

By default, all your information in Artwork Archive is completely private. The Public Profile option allows you to share selected pieces while keeping the rest protected.


Setting Up Your Public Profile

Activate Your Public Profile

  1. Click My Profile on the left-side menu

  2. Select the grey drop-down item at the very top of the page that reads "Private - No Public Access"

  3. Select "Public - Visible on Discovery & Search" to make your profile fully public

Password Protect Your Public Profile

To password protect your Public Profile so only those with the password can access:

  1. Navigate to My Profile > Profile Settings

  2. Navigate to the Password Protection section towards the right

  3. Toggle on "Password Protect Your Public Profile"

  4. Type in the password you'd like to use > Save Password

Preview Your Public Profile

  1. Click View Profile located either under My Profile on the left-hand menu or at the top right of your screen.

Did you know?

You can edit and preview your Public Profile before it goes live! While your profile is still private, select Preview as a Visitor in the top right to see exactly what visitors will see as you finesse your display settings and public Pieces. Once your profile is public, that button becomes View Public Profile.

Customizing Your Public Profile

Add Profile Information

Use the top tabs to add or edit information:

  • Profile Info: Upload profile image, logo, contact information, and social links.

    • *Note: Use full URLs for social media links and not just usernames (e.g., www.instagram.com/YourProfile)

    • If you upload both a profile image and a logo, select "Use Profile Image" or "Use Logo" to choose which one appears on your Public Profile.

  • About: Add biography, artist/collector statement, short bio, and resume/CV link.

    • We recommend writing your artist biography and statement in 250 words or less

  • Profile Settings: Choose data to share (prices, status, etc.) and your display settings

  • Public Pieces: Select artworks or collection items to make public.

    • You can filter, make all public, or select the button to the right of each piece to make it public individually.

    • To display Collections, set each to Public and toggle on Show collections under Profile Settings > Page & Piece Order

  • My Posts: Add content for your newsfeed.

  • Integrations: Find Universal Embed Codes for existing website integration.

Pro Tip:

Complete your About tab information to get the most out of your Artwork Archive account! Not only will this enhance your Public Profile, but this same information can also be used to create professional Cover Pages for certain Reports, such as Inventory Reports, Tear Sheets, and Catalog Pages.


Including your artist biography, profile image, and social media links can be included automatically to generate professional Cover Pages.

Simply check "Include Cover Page with profile image, bio, and social media links" in the Report Design section when creating select Report types.

Set Up Your Public Profile Contact Page

Your Public Profile now includes a dedicated Contact page, which replaces the message pop-up that visitors used to see. Instead of a small overlay, visitors get a full page with a contact form and a short introduction from you, so reaching out feels like contacting a professional rather than submitting a web form into the void.

Contact appears as a tab in your Public Profile navigation alongside Artwork, Collections, News, and About.

What visitors can see on your Contact page

  • A contact form for sending you a message

  • A short contact introduction you write, which is a good place to note what kinds of inquiries you welcome, whether that's commissions, studio visits, press, or acquisition questions

How to set it up

  1. Click My Profile on the left-side menu > Profile Info

  2. Scroll down to the Contact & Location section

  3. Add your contact information in the "Contact Introduction" section

  4. Click Save Changes

Important Note

Your personal contact details are never shown publicly unless you choose to display them. Visitors can always reach you through the contact form without seeing your phone number or address.

Change the Layout of Artworks

Choose between Tile View and Grid View:

  1. Navigate to My Profile on the left-hand menu

  2. Select Profile Settings at the top

  3. Scroll down to Layout & Display

  4. Select Grid View Layout or leave deselected for Tile View

Tile View (Default)

Grid View

  • Adjusts the order of pieces based on how they fit into the layout.

  • Allows for option to show piece information on hover or below image

  • Preserves perfect ordering of pieces.

  • May have more empty space compared to Tile View.

  • Piece information is displayed below image.

Note:

Grid and Tile layout options apply to your Artwork page only. Your Artists page always displays as a grid, your Collections page displays as cards, and individual Collection pages display as a grid.


Customize Your Public Profile URL

There are two ways to access and manage your URL:

In the Profile Settings tab

  1. Navigate to My Profile in your left-side menu

  2. Select the pencil icon beside your current URL

  3. Include your preferred naming for the ending of the URL

  4. Select the Save button to save your changes

In the Account page

  1. Click on the Account page

  2. Scroll to URL Username section

  3. Click Customize URL Username and save

Set Your Default Public Profile Landing Page

Choose the initial page visitors see when they access your Public Profile.

  1. Navigate to My Profile > Profile Settings

  2. Scroll down to Page & Piece Order > select the down arrow to expand this section

  3. Choose your Default Profile Landing Page from the drop-down from the options available to you

    1. Portfolio

    2. About

    3. Collections (only Collections set as "public")

    4. Artists (For Collector & Organization Accounts Only)

    5. Exhibitions (For Organization Accounts Only)


Custom Order your public Pieces

  1. Navigate to My Profile on the left-side menu

  2. Go to the Profile Settings tab at the top

  3. Scroll down to the Page & Piece Order > Custom Ordering and Piece Sort Options

  4. From the Select Piece Order drop-down, select Custom Order

  5. Click the Customize Ordering button below

  6. From there, you can either select the number in order for each piece or click the three bars to the right to drag and drop the pieces in the correct order.

  7. The new artwork order will update automatically. To view the changes, click View Public Profile at the top of the screen.

Let Visitors Sort and Filter Your Artwork

Setting a default order controls what visitors see first. Turning on sort and filter controls lets them find what they came for. A collector looking for artwork under a certain size, or in a certain price range, or category, can now narrow your profile down to exactly that instead of scrolling.

How to turn on visitor controls

  1. Click My Profile on the left-side menu > Profile Settings

  2. Scroll down to the Layout & Display section

  3. Toggle on "Show Sort Menu" to let visitors change the order your artwork appears in

  4. Toggle on "Show Filtering Bar" to let visitors filter your artwork

  5. Toggle on "Show Piece Search Bar" to let visitors search your artwork

Note

Filters only work with the data you've chosen to make public. If prices aren't displayed on your Public Profile, visitors won't be able to filter by price.


Show Additional File Links on your Public Profile

You can now choose to 'Show link on public profile' and/or 'Show link in private room' after uploading any Additional Files by selecting the respective checkbox.

  1. Navigate to the Piece record for which you'd like to share an additional file(s).

  2. Scroll down to the Additional Files section towards the bottom of the page on the right-hand side.

  3. Select the checkbox that reads 'Show link on public profile' next to the Additional File for which you'd like to show the link on your Public Profile.

  4. This will automatically update and be reflected for that Piece view on your Public Profile.

    5. Your viewers will then be able to see your public Additional File links on the individual Piece pages on your Public Profile as seen below:

Note for Web Embed Users:

However you order your artworks within your Public Profile or public Collections will automatically be mirrored on your embeds without any extra effort.

Did you know?

You can now showcase your Piece record Provenance, Exhibition History, and Publication History on your Public Profile. Go to My Profile > Profile Settings, scroll to the Additional Artwork Details section, and toggle on Show Exhibition History, Show Publication History, and Show Provenance.

This information will then be reflected in your web embed pages.

Sharing Your Public Profile

Get Your Public Profile Link

  • In the My Profile tab, locate your unique URL

  • Select the copy icon to copy this link to share your Public Profile directly

Integrating Your Public Profile into Your Website

Use the Universal Embed Code to install your artwork or collection on any website.

Before you start:

  • Ensure that your Public Profile is public

  • Set desired Pieces/Collections to public

  • You will need to be able to edit the HTML of your website

Find Your Universal Embed Code

  1. Navigate to My Profile > Integrations tab

  2. Copy the Universal Embed Code for your entire portfolio or specific collections/pages.

  3. Paste the code into your website where you want your portfolio to appear.

Note:

Every website is different. If you run into any issues, we recommend reaching out to your website provider for more detailed instructions.

How to Forward Your Own Domain to Your Public Profile

While Artwork Archive doesn't support custom domains, you can redirect your own domain to your Public Profile URL. Contact your domain host for specific instructions on how to set up this redirection. Make sure your profile is set to public before setting up domain forwarding to ensure successful redirection.

Showcasing Your Public Profile on Discovery

In addition to sharing your Public Profile directly, Artwork Archive offers a platform called Discovery that can amplify your reach even further. Discovery showcases Public Profiles, increasing your exposure to potential buyers or audiences worldwide. The Discovery Homepage changes daily and the Featured Artist changes weekly. Here's what you need to know about leveraging this feature:

How to Access the Discovery Platform

  • Open a browser and go to www.artworkarchive.com/discovery or you can go to the main Artwork Archive landing page and click Resources on the top bar, then select Discovery Platform

Optimizing Your Profile for Discovery

  • Use your full name

  • Add a professional profile picture

  • Write a compelling short bio

  • Include working social media links

  • Showcase high-quality images in your portfolio

  • Complete your About page with bio, artist statement, and CV

  • Use the News section for updates and events

  • Organize works into Collections

Requirements to Appear on Discovery

  • Paid Artwork Archive subscription

  • Active Public Profile

  • At least four public pieces


Tips for Maximizing Your Public Profile's Impact

  1. Share on Social Media: Post your Public Profile links on platforms like Instagram, Facebook, TikTok, and X

  2. Include in Your Email Signature: Add your Public Profile link to your email signature for easy sharing

  3. Keep it Updated: Regularly add new works and update your profile information

  4. Use High-Quality Images: Ensure all artwork photos are clear and professional

  5. Craft a Compelling Story: Use your bio to connect with viewers and collectors

  6. Leverage SEO: Include relevant keywords in your artwork titles and descriptions

  7. Promote Consistently: Regularly share your Public Profile link to increase visibility

Troubleshooting Your Public Profile

  • Profile Not Visible: Check that your profile visibility is set to "Public - Visible on Discovery & Search" at the top of your Manage Your Public Profile page, and that password protection is turned off

  • Artwork Not Showing: Check individual artwork privacy settings

  • Design Issues: Clear your browser cache or try a different browser
