How to Update the Status of an Artwork

Update artwork statuses individually or in bulk and declutter your main view by hiding archived pieces.

Keeping track of artwork status is crucial for maintaining an organized inventory. Artwork Archive provides a robust system for managing status updates, allowing you to quickly modify piece statuses, efficiently filter your collection, and track important transitions like sales or donations. This streamlined approach ensures your inventory remains accurate and professionally managed, freeing you to focus on your art or collection.


Updating a Piece's Status:

  1. Click on Artwork in the left-side menu.

  2. Select the artwork you want to update.

  3. Under the artwork's image and details, find the Status drop-down menu.

  4. Choose the appropriate status from the list.

Please note:

When you mark the status of a Piece as Donated, Sold, or Gifted, you will be redirected to where you can add the details of the donation or sale.


Update Statuses for Multiple Pieces

  1. Navigate to your main dashboard.

  2. From the top menu, choose Bulk Actions > Bulk Edit.

  3. Choose the pieces for which you want to update the status.

  4. Click the blue Next button.

  5. Click the blue Update Status button.

  6. Choose the status you wish to assign to the selected pieces.

  7. Click the blue Confirm Changes button.


Archiving Artworks from the Pieces Page

Archiving is completely independent from the status field. You can archive any piece regardless of its status, and you can set any status for both archived and unarchived pieces.

This allows you to:

  • Keep records of these pieces without cluttering your active inventory

  • Effectively separate works that are no longer part of your current collection

  • Maintain a comprehensive artwork history while focusing on active pieces

To view or manage archived items, simply click on the Archived icon on your dashboard.


Bulk Archiving Multiple Pieces

  1. Navigate to your main dashboard.

  2. From the top menu, choose Bulk Actions > Bulk Archive.

  3. Choose the pieces you want to hide from your main Pieces view, i.e. archive.

  4. Click the blue Archive Selected Pieces button.

  5. You will then be taken back to your main Pieces page.

To view or manage archived items, simply click on the Archived icon on your dashboard.
