Public Profile Features for Artwork Archive Organization Accounts

What your organization can show on an Artwork Archive Public Profile: your Artwork page, Collections, Exhibitions, Artists, About, Interactive Map, News, and Contact page.

Your Artwork Archive Public Profile is a public home for your organization's collection, linked directly to your inventory. Update a record or acquire a new artwork, and your profile reflects it. No separate website to maintain.

Everything in your account is private by default. You choose which Pieces and which information the public can see, and your sensitive records stay private. If you would rather share privately with a named group, use Private Rooms instead.

Every Public Profile is hosted on Artwork Archive's Discovery platform and benefits from Artwork Archive's SEO, so your collection is easier to find in search.

Organization accounts can include all of the following on a Public Profile: an Artwork page, Collections, Exhibitions, Artists, an About page, an Interactive Map, a News feed, and a Contact page.


Make Your Collection Accessible to Communities with Your Artwork Page

Your Artwork page displays every Piece you have made public. Your exhibition calendar no longer limits what the public can see, so your permanent collection, including objects in storage, and your temporary exhibitions can all be accessible at once.

Visitors can then explore on their own terms:

  • Sort your artwork when you turn on the Sort Menu.

  • Narrow by size, price, and availability when you turn on the Filtering Bar.

  • Browse by category and subcategory, selecting more than one at a time.

  • Search your collection by Artwork Tags, title, medium, and more. On Collection, Artist, and Exhibition pages, search results stay within the page a visitor is exploring, so they find relevant artwork without losing their place.

Use Collections to Showcase the Breadth and Diversity of Your Institution

Collections let you group artwork by medium, style, time period, or any theme that helps a visitor understand your holdings. Add a description to each one and a Collection becomes an educational resource rather than just a folder.

Collections have their own page on your Public Profile, reachable from Collections in your profile navigation. That page displays as cards, one card for each Collection you have chosen to show.

Inside an individual Collection, your Pieces display in whichever Tile View or Grid View you have set for your Artwork page, so the two always match.

Share Your Mission and Vision Statement on the About Page

The more complete your Public Profile, the more effective it is at getting your collection the exposure it deserves. Your About page is where visitors read your organizational history, mission, and vision statement.

Did you know?

Your About page is its own page. Your Profile Footer is the strip that appears at the bottom of every page of your profile and on your embed pages, and it suits copyright information, additional links, and short institutional notes.


Attract Visitors to Your Current, Upcoming, and Past Exhibitions

Your Exhibitions page gives visitors a clear view of what is on now, what is coming, and what they may have missed. Artwork Archive organizes it automatically from the dates you enter on each Exhibition:

  • Current exhibitions appear front and center.

  • Upcoming exhibitions are highlighted, with the option to view more.

  • Past exhibitions stay easy to browse and revisit.

An Exhibition on your Public Profile can act as a virtual counterpart to a physical show or stand on its own. Add a media carousel with installation shots, video embeds, and promotional material, and visitors can scroll the artwork and read your didactic text.

Artist information is easier to find on exhibition viewing pages, and previous and next controls let visitors move between artworks, artists, and rooms without leaving the exhibition they are exploring.

Did you know?

Your exhibition dates drive what visitors see. Because Artwork Archive sorts your Exhibitions page from the dates on each Exhibition record, keeping those dates accurate is what keeps the page current. See Getting Started with Exhibitions (for Organization account version).


Feature the Artists in Your Collection with Artist Profiles

An Artist Profile showcases an artist's artwork, bio or artist statement, website, and headshot. It helps students and scholars learn about the makers in your collection and gives your exhibiting artists additional exposure.

Your Artists page displays in its own dedicated grid layout, and visitors click through to an individual artist from there.

To make an artist's information public, populate that artist's record in your Contacts.

Did you know?

Collector accounts have an Artists page too. Artist Profiles are not limited to Organization accounts. Collector accounts have an Artists page as well, and both build it the same way. See Creating Artist Profiles for Collector and Organization Accounts.


Drive Awareness and Engagement with an Interactive Map

If your collection is spread across buildings, campuses, or towns, the Interactive Map gives visitors a way to explore it by location. The map is available to Organization accounts.

Visitors see artwork thumbnails at each location rather than plain markers, can open a location for details and images of up to five artworks, and can follow direct links to an individual artwork or to everything at that location. Turn on the map filter and they can narrow the map by location as well.

Each artwork page includes the address of the Piece and a link to Google Maps directions. For artwork with no street address, such as sculptures in a park or murals in an alley, use GPS coordinates instead.

Share Announcements and Stories with the News Page

The News page lets you keep your community up to date. Announce events, publish articles written by interns, or spotlight a new acquisition.

Posts support more than plain text:

  • Add images inside a post alongside your writing.

  • Style your posts with expanded formatting options.

  • Save a post as a draft until it is ready.

  • Schedule a post to publish automatically on a future date.

A landscape image of 1200 by 630 pixels gives the best result. Your post image displays the same way in your account and on your Public Profile, so you can see how a post will look before it goes live.

Give Visitors a Direct Way to Reach You with the Contact Page

Your Contact page replaces the old message pop-up and gives visitors a clear, professional way to reach your organization. It is turned on by default.

You can add a short introduction and choose which contact details to display, such as a phone number and address, alongside a contact form. Your details stay private unless you choose to show them.

If your profile displays your logo rather than a profile image, the logo appears on a white background on this page.

If you would rather not offer a Contact page, turn off Show Contact Page under Profile Settings > Layout & Display.

Choose How Your Public Profile Looks and How Visitors Browse It

Under Profile Settings > Layout & Display you decide how your collection is presented. You can choose side or top navigation, Tile View or Grid View for your Artwork page, a single-column or multi-column grid, serif or sans serif type, which also applies to your navigation menu, whether artwork details sit below or on the image, whether the artist name or the artwork title comes first, how many Pieces load per page including infinite scroll, whether visitors get the Sort Menu and Filtering Bar, and whether your Contact page appears at all.

Under Profile Info you can also choose Use Profile Image or Use Logo, and that choice carries across your whole profile.

Did you know?

You can preview your profile while it is private. Click View Public Profile at the top right of the Manage Your Public Profile page to see your profile exactly as a visitor would, even while it is still private.
