How to Write, Schedule, and Publish News Posts on Your Artwork Archive Public Profile

Use the News page on your Artwork Archive Public Profile to share exhibitions, studio updates, and announcements, with a featured image, rich text formatting, drafts, and scheduled posts.

Your News page is where you tell the story around your artwork. A show opening, a studio move, a commission that just found its home: these are the updates that give a returning visitor a reason to come back, and that give your Artwork Archive Public Profile something current for search engines to find. You can publish a post the moment you finish it, save it as a draft and come back later, or schedule it to go live on a date you choose.

How to Create a News Post

  1. Click My Profile on the left-side menu

  2. Click My Posts in the top menu

  3. Click + New Post

The Create a New Post page has three parts, working down the page: Featured Image, Post Info, and Publishing Options. Nothing is saved until you click Save Post at the bottom right.

How to Add a Featured Image to Your News Post

Your Featured Image appears at the top of your post, and it is also the image people see when your post is shared on social media or in an email. It is worth choosing carefully, because it often does the work of persuading someone to click.

  1. In the Featured Image box, click Click here to upload a featured image

  2. Choose a JPG, PNG, or GIF file from your computer

Did you know?

Artwork Archive recommends a landscape image at 1200 by 630 pixels. Images in other proportions still work, they are simply cropped to fit, so keep anything important away from the edges. Your post now looks the same in Artwork Archive as it does on your live News page, so what you see while you are building the post is what a visitor gets.

How to Write Your Post Title, Subheader, and Content

The Post Info section holds the writing itself.

  1. Enter your Post Title

  2. Add a Subheader. This is the line that appears under your title, and it is limited to 160 characters

  3. Write or paste your text into Post Content

Post Content is a rich text editor, so you can shape a long post rather than leaving it as a wall of text. The toolbar gives you a text style drop-down that starts at Normal, bold, italic, underline, and strikethrough, a quotation block, hyperlinks, numbered and bulleted lists, indent controls, and a button that clears formatting from whatever you have selected.

Did you know?

Linking to your own artwork keeps visitors exploring. Use the hyperlink button to link a post to the Pieces or Collections it talks about. Someone reading about your exhibition is one click from the artwork in it, rather than having to go and look for it.


Publishing Your News Post

How to Save a News Post as a Draft

A draft is saved to your account and is not visible on your Public Profile, so you can start a post today and finish it whenever you like.

  1. Scroll down to Publishing Options

  2. Leave both Publish now and Schedule for later unchecked

  3. Click Save Post

You are returned to My Posts, where your drafts and published posts are listed together. Use the Draft filter above the list to see only your unfinished posts, or the Search posts box to find one by name.

How to Publish Your News Post Right Away

  1. Scroll down to Publishing Options

  2. Check Publish now

  3. Click Save Post

Your post goes live on the News page of your Public Profile straight away. To publish a post you saved earlier as a draft, open it from My Posts with Actions > Edit, check Publish now, and click Save Post.


How to Schedule a News Post for a Future Date

Scheduling is useful when the news has a date attached to it. Write the post while the details are fresh, set it to go live the morning your show opens, and it publishes itself.

  1. Scroll down to Publishing Options

  2. Check Schedule for later

  3. Click the Date field. A calendar opens, and you can move between months and years using the drop-down and arrows at the top

  4. Click the date you want the post to go live

  5. Click Save Post

Back on My Posts, each post shows the date it was created and, if you scheduled it, the date it is set to go live.

Did you know?

A scheduled post is still yours to change. Scheduling a post does not lock it. You can keep editing it, change the date, or unpublish it at any point, before or after it goes live.


How to Edit, Preview, Unpublish, or Delete a News Post

Everything you do to an existing post starts from the same place.

  1. Go to My Profile > My Posts

  2. Click Actions to the right of the post you want to change

  3. Choose the option you need

  • Edit reopens the post so you can change the words, the Featured Image, or the publishing date.

  • Preview shows you how the post looks to a visitor.

  • Unpublish takes the post off your News page and returns it to a draft, so nothing you wrote is lost.

  • Delete removes the post from your account.

Important note:

Deleting a post is a permanent action and cannot be undone.

Delete removes the post and its text permanently. If you only want it off your public News page, choose Unpublish instead. That keeps the post as a draft you can republish later.


How to View Your Public News Page

  1. Click My Profile on the left-side menu

  2. Click My Posts in the top menu

  3. Click View News Page

This opens the News page exactly as a visitor sees it, with your published posts in order. To see your whole Public Profile rather than just News, use View Public Profile at the top right of the Manage Your Public Profile page. While your profile is still private, that button reads Preview as a Visitor.
