How to Add Video Links and Audio Files to Your Artwork Records

Add YouTube or Vimeo videos and upload audio files to your Piece Records, then show them on your Public Profile.

Videos and audio show viewers more of your work than an image can on its own. You can add a time-lapse of your process, a studio tour, an artist talk, an oral history or the soundtrack for an installation, and it stays with the artwork's record. Video and audio are available on all account types. They stay private until you choose to show them on your Public Profile.

What Videos and Audio Look Like on Your Public Profile

When you turn them on, videos show up in a Videos section and audio shows up in an Audio section below the artwork images on the public piece page.

How to Add a YouTube or Vimeo Video Link to a Piece Record

Artwork Archive plays videos that are hosted on YouTube or Vimeo. You can't upload a video file straight to Artwork Archive. Upload the video to one of those sites first, then copy its link.

  1. Open the Piece Record and click Edit

  2. Scroll down to the Video Links section and click Add Video Links

  3. Paste your link into the YouTube or Vimeo Link field

  4. Add a short caption (optional)

  5. Click Save

Did you know?

To get a video's link, open the video, click Share, then click Copy. You can also copy the web address from the top of your browser.

Note:

YouTube doesn't let Shorts play on other websites. Change the link to the standard format before you paste it. For example, youtube.com/shorts/abc123 becomes youtube.com/watch?v=abc123.

How to Upload Audio Files to a Piece Record

Each Piece Record can hold up to 5 audio files, and each file can be up to 30 MB.

  1. Open the Piece Record and click Edit

  2. Scroll down to the Audio section and click the blue Add Audio button

  3. Choose the audio file from your device

  4. Add a caption (optional)

  5. Click Save.

Did you know?

You can upload these audio formats: MP3, WAV, AAC, FLAC, OGG, AIFF and M4A. Voice Memos recorded on an iPhone save as M4A, so you can upload them as they are.

How to Upload Audio Files to My Docs

If an audio file isn't tied to one artwork, like a recorded artist statement, a collection overview or a podcast interview, upload it to My Docs.

  1. Click My Docs in the left-side menu

  2. Click New Document

  3. Choose a Document Type and enter a Name. The Description and Date are optional.

  4. Under File Upload, drag your audio file into the box or click Choose File. Files can be up to 30 MB.

  5. Click Save

How to Show Videos and Audio on Your Public Profile

Videos and audio files are private until you turn them on.

  1. Click My Profile in the left-side menu

  2. Click the Profile Settings tab at the top of the page

  3. Scroll down and open the Media & Files section

  4. Turn on the toggle for what you want to show:

    • Show Embedded Videos from Video Links for videos

These settings apply to all your public pieces at once. Videos and audio only appear on pieces you've already made public. Private pieces stay private.

How to Reorder or Delete Videos and Audio Files

Open the Piece Record, click Edit, and scroll to the Video Links or Audio section.

  • To change the order: drag the three-line icon next to a file, or pick a position from the Move to drop-down.

  • To delete: click the X to the right of the file. Deleting can't be undone, so keep a copy of your audio files on your computer.

Click Save when you're done.
