How to Edit, Copy, or Delete Artwork in Artwork Archive

Edit a Piece Record in full or with Quick Edit, copy one to reuse its details, and delete Pieces you no longer need.

Your inventory changes as your practice does. Prices go up, work sells, and a new piece joins a series you are already tracking.

Artwork Archive gives you three ways to keep your records accurate. Edit a Piece to change its details, Copy one to reuse those details on a similar work, and Delete a Piece you no longer need. This guide covers all three, including exactly what carries over when you copy a record.

To change the same field across many Pieces at once, use Bulk Edit instead.


How to Edit a Piece Record

While you can always click into a Piece Record to edit the details, you can also Quick Edit any piece right from the main pieces page.

Quick edit covers the fields you change most often, including title, price, description, Category and Subcategory. The window opens over your Pieces page, so any filters you have applied stay in place while you work.

How to Edit a Piece Record in Full

Click into any Piece from your Artwork page, then click Edit in the top menu. This opens the full record, where every field is available to change.


How to Quick Edit a Piece Record on your Pieces Page

Quick Edit from Gallery View

Gallery View shows your artwork as large thumbnails. Click the pencil icon in the top right corner of a thumbnail to open quick edit without leaving the page.

Quick Edit from List View

List View shows one artwork per row, with more of its details visible at a glance. Quick edit opens the same window here, which makes this a good view for working down a list and updating one field at a time.

Quick Edit from Table View

Table View lays your artwork out in a spreadsheet-style grid, so you can compare details across many Pieces at once. Quick edit works the same way here.


How to Copy a Piece Record

  1. Click Artwork in the left-side menu

  2. Click into the Artwork Record you wish to copy

  3. From the top menu, click Copy

What Transfers When You Copy a Piece (click arrow to expand)

When you copy a Piece Record, the following information transfers to the new copy:

  • Title

  • Images

  • Medium

  • Subject Matter

  • Price

  • Wholesale Price

  • Artist Name

  • Height

  • Width

  • Depth

  • Description

  • Notes

  • Category

  • Subcategory

  • Framed Height, Width & Depth

  • Paper Height, Width & Depth

  • Creation Date

  • Purchase Date

  • Purchase Price

  • Condition

  • Signature Notes

  • Insurance Value

  • Edition Info

  • Tags


Deleting a Piece Record

Important note:

Deleting a Piece record is a permanent action and cannot be undone. If you want to remove a Piece from your main view without losing it, you can "archive" it instead.

Delete a Piece from the Main Dashboard

  1. Click Artwork in the left-side menu

  2. In List View, navigate to the right of the artwork record and click Delete

  3. Confirm by clicking the red Yes, Delete button on the pop up

Delete a Piece from within a Piece Record

  1. Click into the Piece Record you wish to delete

  2. Click Edit from the top menu

  3. Scroll down and click the Red Trash Can Icon button to delete
